SwiftCode (“we,” “our,” or “us”) is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, and safeguard information when you use SwiftCode Respond, SwiftCode Command, and related services (collectively, the “Services”). SwiftCode is a clinical communication and emergency response platform designed for healthcare facilities. We take privacy extremely seriously, particularly given the sensitive nature of the healthcare environments where our product is used.
2. Information We Collect
We collect the minimum information necessary to provide a reliable clinical communication platform. All data collected is used exclusively for app functionality and is not used for tracking or advertising.
Contact Information
- Name: Your full name as provided by your facility, used to identify you to other staff members during incidents and communications. Linked to your identity.
- Email Address: Used for account authentication and login. Linked to your identity.
- Phone Number: Used for SMS fallback notifications when push notifications cannot be delivered. Not linked to your identity for purposes outside core app functionality.
Location
- Precise Location: Used to help dispatched responders navigate to incident locations within a facility and to display proximity information during active emergency codes. Linked to your identity during active incidents only.
- Coarse Location: Used to associate staff with the correct facility and unit. Linked to your identity.
Identifiers
- User ID: A unique identifier assigned to your staff account, used to manage authentication, dispatch assignments, and incident participation. Linked to your identity.
- Device ID: Used to deliver push notifications (Apple Push Notification service) to the correct device when you are not actively using the app. Linked to your identity.
3. Information We Do NOT Collect
- No Protected Health Information (PHI) is stored on your device or transmitted through the app
- No patient medical records, diagnoses, or treatment data
- No audio or video recordings
- No biometric data
- No browsing history or third-party tracking data
- No financial or payment information
4. How We Use Information
All data we collect is used solely for app functionality:
- Authenticating staff and managing secure sessions
- Delivering real-time alerts, emergency codes, and dispatch notifications
- Enabling communication between staff during incidents
- Routing responders to the correct location during active codes
- Sending push notifications for time-critical events when the app is in the background
- Providing SMS fallback when push notifications are unavailable
- Generating incident response metrics and audit trails for facility administrators
We do not sell, rent, or share your personal information with third parties for marketing or advertising purposes. We do not use your data for tracking across apps or websites.
5. Data Storage and Security
SwiftCode uses secure, encrypted cloud infrastructure hosted on Amazon Web Services (AWS) in the United States. Data is transmitted over HTTPS with TLS encryption. Authentication uses JSON Web Tokens (JWT) with automatic expiration and refresh. All incident data, dispatch records, and audit logs are stored in encrypted databases with access controls.
Real-time communication is delivered via secure WebSocket connections and push notifications. Your facility's data is isolated from other facilities through strict access controls.
6. Data Retention
Account data is retained for the duration of your employment at a participating facility. Incident records and audit logs are retained per your facility's compliance requirements. You or your facility administrator may request data deletion at any time by contacting us.
7. Third-Party Services
SwiftCode integrates with the following third-party services exclusively for core functionality:
- Apple Push Notification service (APNs): To deliver time-critical alerts to your device
- Amazon Web Services (AWS): For secure cloud hosting and SMS delivery
We do not integrate with any advertising networks, analytics platforms, or social media services.
8. Children's Privacy
SwiftCode is designed exclusively for use by healthcare professionals and is not directed at children under the age of 13. We do not knowingly collect information from children.
9. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Opt out of non-essential communications

10. HIPAA Compliance
SwiftCode is designed to operate within HIPAA-compliant healthcare environments. While our platform does not store or transmit Protected Health Information (PHI), we maintain security practices consistent with HIPAA requirements, including access controls, audit logging, encrypted data transmission, and secure authentication.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the app or via email to your facility administrator. Continued use of the Services after changes constitutes acceptance of the updated policy.
